What information do I mention on my invoices?

  1. The word ‘invoice’ – it seems like a no-brainer, but it’s mandatory to mention. Do you send invoices to customers abroad? Always prepare the invoice in the language of the country or region in which your company is located, even if this is a different language than the country your customer is in.
  2. Number your invoices. You should also ask your customers to state this invoice number when paying. This makes it easy for you, your customer and bookkeepers to find the payment. There are no hard rules on how to number an invoice, but it is recommended to number chronologically and always start with the year. For example, 2023-01, 2023-02, and so on.
  3. The official name of your company, as it’s registered in the crossroads bank for enterprise (CBE). Don’t forget to also mention the address, company number and VAT number.
  4. Customer information, such as: name, address and VAT number.
  5. Date of delivery and the date the invoice was created. There is no legal term for when to send out invoices, but it is best to send your invoice within a reasonable period of time after the delivery of goods or services.
  6. When the payment is due. This is something you determine for yourself, but it is important to indicate the date so that the customer is informed. If no agreements are made about the payment term, a payment term of 30 days applies.
  7. A brief description of the products or services provided and the price per unit.
  8. Total cost with and without VAT rate (0, 6, 12, or 21 %). Is your company exempt from VAT? Then you add the legal description for the VAT exemption.
  9. Your company’s account number and other relevant payment details.
  10. Not legally mandatory, but it can be interesting to add your email address, URL and telephone number so that the customer can contact you.

How do I personalise my invoices?
