After around two years, FPS Finance communicates your actual income to your social security fund.&nbsp;<strong>If the estimated income used to calculate your provisional contributions was higher than your actual income, you\u2019ll get back the extra amount you paid.<\/strong><\/p>\n\n\n\n<p class=\"font-inter text-base leading-relaxed mb-4 first-of-type:mt-0 text-black\"><strong>Your social security fund notifies you and automatically transfers the money to your account, unless you still have an outstanding debt.<\/strong>&nbsp;In this case, the money is used to settle the debt. Note that this only applies to late payments. You still need to pay your contribution for the current quarter.<\/p>\n\n\n    <!-- wp:acf\/blog-annotation -->\n    <div class=\"wp-block-acf-blog-annotation flex items-start gap-4 bg-light-purple py-6 px-4 rounded-lg mb-3 mt-3\">\n                    <img decoding=\"async\" class=\"flex-shrink-0\" src=\"https:\/\/www.accountable.eu\/wp-content\/themes\/accountable\/assets\/rebranding-images\/icons\/blog\/widgets\/bulb.svg\" alt=\"bulb\">\n        \n        <div class=\"blog-annotation__text\">\n            <p class=\"font-inter text-lg text-purple m-0\"><span style=\"font-weight: 400\">Your actual income never exactly matches the estimated income on which your social security contributions are calculated, and that&#8217;s normal.\u00a0<\/span><b>This is why, after 2 or 3 years, you\u2019re always in one of two situations: either you get some money back, or you have to pay extra. It&#8217;s roughly the same principle as when you file your tax return.<\/b><\/p>\n        <\/div>\n    <\/div>\n    <!-- \/wp:acf\/blog-annotation -->\n\n\n\n<h3 id=\"an-example\" class=\"wp-block-heading font-degular scroll-mt-32\">An example<\/h3>\n\n\n\n<p class=\"font-inter text-base leading-relaxed mb-4 first-of-type:mt-0 text-black\">You paid provisional contributions in 2023. In the end, your actual income for that year turned out to be lower. Your social security contributions are recalculated, and you\u2019ll get \u20ac960.64 back from your social security fund in 2025.<\/p>\n\n\n\n<p class=\"font-inter text-base leading-relaxed mb-4 first-of-type:mt-0 text-black\">Not bad, right? But how do you reflect these refunded social security contributions in your accounting?<\/p>\n\n\n\n<h2 id=\"refunded-social-security-contributions-how-to-declare-them-in-your-tax-return\" class=\"wp-block-heading font-degular scroll-mt-32\">Refunded social security contributions: how to declare them in your tax return<\/h2>\n\n\n\n<p class=\"font-inter text-base leading-relaxed mb-4 first-of-type:mt-0 text-black\">Getting a reimbursement of your social contributions? Great news! But it needs the right accounting and tax treatment. In your bookkeeping, you record the reimbursement as a negative expense.<\/p>\n\n\n\n<p class=\"font-inter text-base leading-relaxed mb-4 first-of-type:mt-0 text-black\"><strong>On your tax return, box XVII \u2013 1632 should, in principle, show the net amount: the contributions you paid that year, minus the reimbursement. <\/strong>If the reimbursement is smaller than what you paid, that figure stays positive and nothing else changes.<\/p>\n\n\n\n<p class=\"font-inter text-base leading-relaxed mb-4 first-of-type:mt-0 text-black\"><strong>If the reimbursement is larger than what you paid that year, the total becomes negative. Tax on Web doesn&#8217;t accept a negative amount in box XVII \u2013 1632, <\/strong>so you have two options:<\/p>\n\n\n\n<ul class=\"wp-block-list list-disc list-outside ml-0 mb-4 space-y-2\">\n<li class=\"font-inter text-base text-black\">Add the reimbursement to your taxable gross income (box XVII \u2013 1600) and only declare the contributions actually paid in box XVII \u2013 1632. Note: you do this manually, and you also need to remove the reimbursement from your deductible expenses in the Accountable app yourself, otherwise you&#8217;d deduct it twice.<\/li>\n\n\n\n<li class=\"font-inter text-base text-black\">Add the negative amount the Accountable app calculates for social contributions to the amount in box XVII \u2013 1600, and enter \u20ac0 in box XVII \u2013 1632.<\/li>\n<\/ul>\n\n\n\n<ol class=\"wp-block-list list-decimal list-outside ml-0 mb-4 space-y-2\"><\/ol>\n\n\n\n<p class=\"font-inter text-base leading-relaxed mb-4 first-of-type:mt-0 text-black\">This keeps everything transparent and helps you avoid surprises from the tax authorities. Our app calculates exactly how much you owe in social contributions and reminds you when payment is due.<\/p>\n\n\n\n<h2 id=\"indicate-the-refunded-social-security-contributions-in-accountable\" class=\"wp-block-heading font-degular scroll-mt-32\">Indicate the refunded social security contributions in Accountable<\/h2>\n\n\n\n<ul class=\"wp-block-list list-disc list-outside ml-0 mb-4 space-y-2\">\n<li class=\"font-inter text-base text-black\"><strong>Step 1:<\/strong>&nbsp;Add a new expense, just as you would when entering your normal quarterly contributions as a business expense, but this time choose <strong>\u201ccredit note\u201d<\/strong> (i.e. a negative expense).<br><\/li>\n\n\n\n<li class=\"font-inter text-base text-black\"><strong>Step 2:<\/strong>&nbsp;Indicate the amount you will be reimbursed.<br><\/li>\n\n\n\n<li class=\"font-inter text-base text-black\"><strong>Step 3:<\/strong>&nbsp;The date of the expense needs to correspond to&nbsp;<strong>the date of the regularisation <\/strong>received from your social security fund (in this example, 2025), and not to the year the refund relates to (in this example, 2023). For the VAT category, you also need to select&nbsp;<strong>the quarter in which the regularisation was received.<\/strong><br><\/li>\n\n\n\n<li class=\"font-inter text-base text-black\"><strong>Step 4:<\/strong>&nbsp;And that&#8217;s it! This cost is tax-deductible, just like your regular social security contributions.<br\/><br\/>Note that\u00a0the tax authorities only take into account the contributions you actually paid during the calendar year in question. Did you pay an additional amount in 2025 for 2023? Then deduct it on your tax return for your 2025 income (tax year 2026).<\/p> <\/div> <div class=\"schema-faq-section mb-6\" id=\"faq-question-1753437080193\"><h3 class=\"font-degular scroll-mt-32\">What happens if I get back more money than I paid that year?<\/h3> <p class=\"schema-faq-answer font-inter text-base leading-relaxed mb-4 text-black\">You can happen that you receive a refund that\u2019s higher than what you actually paid that year in social security contributions, for example, due to a correction from several previous years.\u00a0<strong>This isn\u2019t something to worry about.<\/strong>\u00a0Simply enter the amount received as a negative cost, or credit note.
