Many self-employed professionals are juggling tight deadlines, buying year-end gifts, and preparing for the Christmas season.<\/strong><\/p>\n\n\n\n<p><strong>From 1 January 2026, there\u2019s an additional requirement: e-invoicing via Peppol. This is causing stress for many, especially with fines for not switching on time.<\/strong><\/p>\n\n\n\n<p><strong>In early December, the Belgian tax administration announced a three-month tolerance period. Those who can show they acted on time will get some breathing room\u2026 but that doesn\u2019t mean you can wait. You need to take action now.<\/strong><\/p>\n\n\n\n<p><strong>On this page, we explain step by step what you need to know and do to avoid fines, so you can stay completely worry-free.<\/strong><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">E-invoicing: 3-month tolerance period<\/h2>\n\n\n\n<p>You may have heard already: <strong>there will be a tolerance period from January to March 2026<\/strong>. This means you won\u2019t be fined if you\u2019re not fully ready with Peppol on 1 January 2026. But don\u2019t be mistaken, strict conditions apply.<\/p>\n\n\n\n<p><strong>You will only benefit from the tolerance if:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You can prove that you made timely and reasonable efforts to comply with the requirement.<\/li>\n\n\n\n<li>The issue was beyond your control (e.g., a software provider delivering late or a technical problem you couldn\u2019t fix).<\/li>\n<\/ul>\n\n\n\n<p><strong>You will not get tolerance if:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You haven\u2019t taken any action.<\/li>\n\n\n\n<li>You deliberately waited.<\/li>\n\n\n\n<li>You have no evidence of any effort made.<\/li>\n<\/ul>\n\n\n\n<p>The government remains strict: <strong>Peppol e-invoicing is mandatory from 1 January.<\/strong> But if you act responsibly, you will have some breathing room until the end of March.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What fines do you risk if you don&#8217;t take action?<\/h2>\n\n\n\n<p>From 2026, you may face an administrative fine if you:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Fail to send e-invoices when required<\/li>\n\n\n\n<li>Make no effort to activate Peppol<\/li>\n\n\n\n<li>Persistently continue sending PDFs without a valid reason<\/li>\n<\/ul>\n\n\n\n<p>The fines increase quickly, so even a single PDF invoice sent the wrong way can end up being costly.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>Situation<\/strong><\/td><td><strong>Fine amount<\/strong><\/td><\/tr><tr><td>1st offence<\/td><td>\u20ac1,500<\/td><\/tr><tr><td>2nd offence<\/td><td>\u20ac3,000<\/td><\/tr><tr><td>3rd and subsequent offences<\/td><td>\u20ac5,000<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">What if you\u2019re ready for Peppol but your client isn\u2019t?<\/h2>\n\n\n\n<p>This is likely to become a common scenario in 2026.<\/p>\n\n\n\n<p>You do everything correctly. You send an e-invoice. And your e-invoicing software says: \u201cClient not registered on Peppol.\u201d<\/p>\n\n\n\n<p>Who\u2019s at fault? <strong>In principle, it\u2019s your client, not you.<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You are required to be able to send e-invoices.<\/li>\n\n\n\n<li>Your client is required to be able to receive them.<\/li>\n<\/ul>\n\n\n    <!-- wp:acf\/blog-annotation -->\n    <div class=\"wp-block-acf-blog-annotation flex items-start gap-4 bg-light-purple py-6 px-4 rounded-lg mb-3 mt-3\">\n                    <img decoding=\"async\" class=\"flex-shrink-0\" src=\"https:\/\/www.accountable.eu\/wp-content\/themes\/accountable\/assets\/rebranding-images\/icons\/blog\/widgets\/bulb.svg\" alt=\"bulb\">\n        \n        <div class=\"blog-annotation__text\">\n            <p class=\"font-inter text-lg text-purple m-0\"><strong data-start=\"59\" data-end=\"67\">Tip:<\/strong> In these cases, send your client an email <strong class=\"font-bold\">asking them to activate their Peppol inbox<\/strong>. This ensures your collaboration can continue smoothly after 01\/01\/2026, helps avoid disputes, and shows that you\u2019re meeting your obligations.<\/p>\n        <\/div>\n    <\/div>\n    <!-- \/wp:acf\/blog-annotation -->\n\n\n\n<h2 class=\"wp-block-heading\">Peppol e-invoicing in plain language<\/h2>\n\n\n\n<p><strong>E-invoices are digital, structured invoices sent directly from your computer to your client\u2019s system. <\/strong>They are different from a PDF, email, or scan (which are simply digital versions of paper invoices).<\/p>\n\n\n\n<p><strong>Peppol is the network that makes this automatic exchange possible. <\/strong>Think of it as a \u201cpostal service for e-invoices\u201d, but faster, paper-free, and error-free.<\/p>\n\n\n\n<p>To send and receive e-invoices, you need <strong>e-invoicing software<\/strong>, such as Accountable.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Are you required to follow the e-invoicing rules?<\/h2>\n\n\n\n<p>Chances are you are. <strong>From 1 January 2026, e-invoicing will be mandatory for<\/strong>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>All Belgian VAT-registered self-employed professionals (both full-time and part-time)<\/li>\n\n\n\n<li>Sole proprietorships and companies<\/li>\n\n\n\n<li>VAT-registered non-profits<\/li>\n<\/ul>\n\n\n\n<p>These self-employed professionals will need to send e-invoices to other Belgian businesses starting from the new year.<\/p>\n\n\n\n<p><strong>Who is not required to use Peppol e-invoicing?<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Self-employed professionals exempt from VAT due to the nature of their profession (Article 44), such as dentists, psychologists, GPs, etc.<\/li>\n<\/ul>\n\n\n\n<p>Even if it\u2019s not mandatory, you <em>can<\/em> still send and receive e-invoices.<\/p>\n\n\n    <!-- wp:acf\/blog-annotation -->\n    <div class=\"wp-block-acf-blog-annotation flex items-start gap-4 bg-light-purple py-6 px-4 rounded-lg mb-3 mt-3\">\n                    <img decoding=\"async\" class=\"flex-shrink-0\" src=\"https:\/\/www.accountable.eu\/wp-content\/themes\/accountable\/assets\/rebranding-images\/icons\/blog\/widgets\/exclamation.svg\" alt=\"exclamation\">\n        \n        <div class=\"blog-annotation__text\">\n            <p class=\"font-inter text-lg text-purple m-0\">From 2026, all invoicing between <strong class=\"font-bold\">Belgian VAT-registered self-employed professionals (B2B)<\/strong> must go through Peppol. If you mainly work with <strong class=\"font-bold\">private clients (B2C)<\/strong>, you don\u2019t have to send e-invoices.
