Here\u2019s everything you need to know about cash books and receipt books.<\/strong><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The differences between a cash book and a receipt book<\/strong><\/h2>\n\n\n\n<p>The main difference between a cash book and a receipt book is the type of transactions recorded in it.<\/p>\n\n\n\n<p><strong>A receipt book<\/strong>&nbsp;contains&nbsp;<strong>all transactions without an invoice, regardless of the method of payment.<\/strong><\/p>\n\n\n\n<p>In a&nbsp;<strong>cash book<\/strong>, you record&nbsp;<strong>money coming in and going out<\/strong>,&nbsp;<strong>but only for cash transactions<\/strong>&nbsp;\u2013 including&nbsp;<strong>cash payments of invoices<\/strong>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Receipt book: what do you need to know?<\/strong><\/h2>\n\n\n\n<p>The purpose of a&nbsp;<strong>receipt book<\/strong>&nbsp;is to record&nbsp;<strong>all daily transactions that don\u2019t have an associated invoice<\/strong>. This is important for freelancers and companies&nbsp;<strong>that have many direct transactions with their customers<\/strong>. As&nbsp;a hairdresser,&nbsp;beautician&nbsp;or retailer, for example, you receive&nbsp;<strong>payments via different payment methods<\/strong>. The receipt book lets you keep a complete overview.<\/p>\n\n\n\n<p><strong>The receipt book<\/strong>&nbsp;also makes it easier to integrate your income in your accounting.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Who should fill out a receipt book?<\/strong><\/h3>\n\n\n\n<p>Keeping a receipt book&nbsp;<strong>is mandatory in any industry where it\u2019s not common to issue an invoice for every service or sale<\/strong>. But there are some exceptions.<\/p>\n\n\n\n<p>Here are the situations in which you are <strong>not<\/strong>&nbsp;<strong>required to keep a receipt book<\/strong>:<\/p>\n\n\n\n<p>\ud83e\uddfe You&nbsp;<strong>always provide an invoice.<\/strong><\/p>\n\n\n\n<p>\ud83e\uddd1\u200d\ud83c\udf73 You use an\u00a0<a href=\"https:\/\/www.systemedecaisseenregistreuse.be\/fr\">SCE\u00a0(cash register system)<\/a>, also called a &#8216;white cash register&#8217;.<\/p>\n\n\n\n<p>\ud83e\uddee You work via\u00a0the <a href=\"https:\/\/finances.belgium.be\/fr\/entreprises\/tva\/assujettissement-tva\/regime-forfaitaire#q1\">flat-rate VAT regime<\/a>\u00a0(this regime will be abolished in 2028).<\/p>\n\n\n\n<p>\ud83d\udca1\u00a0<strong>Accountable tip<\/strong>: Even businesses that fall under the <a href=\"https:\/\/www.accountable.eu\/en-be\/blog\/vat-exemption-small-business\/\"><strong>VAT<\/strong>\u00a0<strong>exemption scheme<\/strong><\/a>\u00a0for small businesses are required to keep a receipt book.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>What are the requirements for a receipt book?<\/strong><\/h3>\n\n\n\n<p>Do you need to keep a receipt book for your business? Follow these rules to fill it out correctly:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Fill out your receipt book\u00a0<strong>daily<\/strong>, even when there\u2019s no income.<\/li>\n\n\n\n<li>Note the\u00a0<strong>total amount per day<\/strong>.<\/li>\n\n\n\n<li>Include sales over\u00a0<strong>\u20ac250 on a separate line<\/strong>.<\/li>\n\n\n\n<li><strong>Separate<\/strong>\u00a0the entries\u00a0<strong>according to the VAT rate applied<\/strong>.<\/li>\n\n\n\n<li>Write with\u00a0<strong>a pen that can\u2019t be erased<\/strong>\u00a0(never use pencil).<\/li>\n\n\n\n<li>Enter any\u00a0<strong>corrections separately without erasing or crossing out the original entry<\/strong>.<\/li>\n\n\n\n<li>Make sure the\u00a0<strong>pages are numbered<\/strong>.<\/li>\n\n\n\n<li>Make sure <strong>all entries are numbered<\/strong>.<\/li>\n\n\n\n<li>Mention your\u00a0<strong>VAT number on each page<\/strong>.<\/li>\n\n\n\n<li><strong>Calculate the monthly total<\/strong>\u00a0and close the month.<\/li>\n<\/ul>\n\n\n\n<p>It\u2019s also important to follow these guidelines:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Make sure you can\u00a0<strong>prove all income via sales receipts, sales dockets, or an appointment diary.<\/strong><\/li>\n\n\n\n<li>Use a\u00a0<strong>separate book per main location\/branch.<\/strong><\/li>\n\n\n\n<li>Keep a\u00a0<strong>centralised book<\/strong>\u00a0at your main location.<\/li>\n<\/ul>\n\n\n\n<p>\ud83d\udca1&nbsp;<strong>Accountable tip<\/strong>: You can find receipt books in most stationery stores. Do you prefer to keep your records in digital format? Then you\u2019ll need a special accounting program.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Cash book: what do you need to know?<\/strong><\/h2>\n\n\n\n<p>A cash book&nbsp;<strong>records all cash transactions<\/strong>. Every time money comes in or goes out of the cash register, you need to write it down. Like in the following situations:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Your customers pay in cash.<\/li>\n\n\n\n<li>You pay a supplier in cash.<\/li>\n\n\n\n<li>You use money from the cash register for personal purposes.<\/li>\n\n\n\n<li>You add personal money to the cash register.<\/li>\n\n\n\n<li>You deposit money from the cash register into a bank account.<\/li>\n\n\n\n<li>You withdraw money from a bank account to put in the cash register.<\/li>\n<\/ul>\n\n\n\n<p>With a cash book, you&nbsp;<strong>record these cash flows<\/strong>&nbsp;accurately. This is important for <strong>keeping track<\/strong>&nbsp;<strong>internally<\/strong>, but also to&nbsp;<strong>get a clear overview&nbsp;of your total income and expenses.<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Who should keep a cash book?<\/strong><\/h3>\n\n\n\n<p>Keeping a cash book&nbsp;<strong>is mandatory for entrepreneurs who regularly work with cash<\/strong>. Do you only occasionally receive or make cash payments? In this case, you don\u2019t need to keep a cash book.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>How to enter income and expenses in a cash book<\/strong><\/h3>\n\n\n\n<p>In a cash book,&nbsp;<strong>every income or expense<\/strong>&nbsp;is recorded on a separate line. But&nbsp;<strong>you can group several small income amounts<\/strong>&nbsp;and record them as daily income.<\/p>\n\n\n\n<p>On each line, you indicate the following information: the <strong>date<\/strong>,<strong> <\/strong>a <strong>description<\/strong>,<strong> <\/strong>the <strong>amount <\/strong>of the income or expense, and the&nbsp;<strong>current balance<\/strong>.<\/p>\n\n\n\n<p>Just like a daily receipt book, your cash book should be clearly filled out\u00a0<strong>with no changes made to any of the entries<\/strong>.\u00a0Here too, it\u2019s best to buy a pre-printed cash book from a stationery store or use specialised software, such as\u00a0<strong><a href=\"https:\/\/www.scrada.be\/en\/\">Scrada<\/a>.<\/strong><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Integrating your cash book and receipt book in your accounting<\/strong><\/h2>\n\n\n\n<p>If you\u2019re <strong>self-employed as a sole trader<\/strong>, you\u2019re allowed to keep single-entry, or simplified accounts. In this case,&nbsp;<strong>you don\u2019t need to process your cash book via an accounting program<\/strong>. You simply need to keep the cash book and be able to present it.<\/p>\n\n\n\n<p>With double-entry accounts,<strong> you need to link your cash book to your purchases or sales<\/strong>. This means that in your accounting software, you need to establish links between the different types of books, such as purchase, sales, financial, and inventory books.<\/p>\n\n\n\n<p>As for the income you record in a&nbsp;<strong>receipt book<\/strong>, you must <strong>communicate it to your accountant or process it yourself in your accounting.<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Processing your receipt book in Accountable<\/strong><\/h3>\n\n\n\n<p>In the Accountable app, go to the \u2018Revenue\u2019 section and select \u2018<strong>Add other revenue<\/strong>&#8216; to enter your sales total. Only record individual sales under \u20ac250 as &#8216;non-invoiced income&#8217;.
